Unused retainer hours: rollover, expiry or credit?

Unused capacity needs an agreed commercial rule before the month closes. Expiry, capped rollover and credits each create different obligations. Choose the policy that fits what the client buys, then make its application visible in the period review.

Product capabilities checked against the ABH truth sheet and public plan access on 14 October 2026. Examples are fictional and illustrative, in USD, excluding taxes. Operational guidance only, not legal, tax or accounting advice.

Short answer

State whether unused hours expire, carry forward within a cap and expiry, or create an agreed credit or refund. Calculate eligible usage before applying that policy. ABH Pro shows retainer usage by period but does not roll hours over automatically. Maintain any carry-forward or settlement reconciliation manually outside ABH.

ABH does not collect client payments. Retainer management requires Pro. Review current plan details before choosing a workspace subscription.

Why unused hours cause disputes

A client may see an unused hour as prepaid work owed later, while an agency may see it as capacity reserved and made available during a defined month. Either expectation can sound reasonable until the agreement says what was purchased. The disagreement is about the commercial promise, not simply a subtraction in a timesheet.

Distinguish work the client chose not to request from work the agency could not deliver and from work delayed by missing inputs. Those situations may require different conversations under the agreement. Do not decide their treatment only after seeing the month's usage. The retainer scope checklist helps establish those boundaries at the start. Explain the unused-hours policy alongside the model in flat-fee versus capped-hours retainers, rather than assuming one model always implies one treatment.

Option 1: hours expire each period

Expiry treats the allowance as capacity available within a period, with no carry-forward of unused hours. Explain the period boundaries and how requests are scheduled. A client should understand that asking for all unused capacity on the final afternoon may not make delivery possible. Agree the request lead time and reporting rhythm so expiry is visible before the deadline arrives.

Illustrative fictional example, USD, excluding taxes: a $2,000 monthly retainer includes 20 hours. Eligible usage is 16, leaving 4 unused. Under an explicit expiry policy, next month's allowance remains 20 hours rather than 24. The base fee remains the agreed fee in this example; it is not automatically prorated to usage. That treatment depends on the actual agreement. Keep a note of the report and any disputed delivery so expiry does not become a reason to dismiss a legitimate client concern.

Option 2: capped rollover

Capped rollover permits a limited amount of unused capacity to move into a later period. Define the maximum carry-forward, how long it lasts and the order in which carried and current hours are consumed. Without those details, a modest exception can become a growing liability the team has no capacity to honor. Confirm how requests are scheduled as well as how balances are counted.

For a fictional 20-hour allowance with 4 unused hours, a policy might permit only 2 hours to carry into the next month and expire at that month's end. Opening capacity would be 22, with the carried 2 used first if that is the agreed order. These numbers are illustrative choices, not recommended contract wording. Maintain the originating period and expiry in a separate reconciliation. ABH does not provide an automatic rollover bank or automatically enforce the policy.

Option 3: credit or refund

A credit or refund changes the financial treatment rather than moving work capacity into the future. Define the conditions that create it, the calculation basis and who approves the decision. A reserved-capacity fee should not be divided by hours after the fact unless the agreement actually supports that calculation. A client choosing not to request work and an agency failing to provide agreed service need careful, separate review.

Do not imply that selecting this policy causes ABH to issue credits or return funds. Settlement happens through the agency's own records and external arrangements. Ask your accountant and legal adviser how an agreed credit or refund should be documented. Keep the original period report, the reason, the accepted amount and the settlement reference. Avoid silently lowering a later base fee without explaining the adjustment, because that hides whether the next period itself has been repriced.

Put the policy in the agreement

Choose one default treatment and state the exceptions. Include the covered period, eligible usage definition, reporting cutoff and what happens to late time corrections. For rollover, add the cap, expiry, consumption order and treatment when the relationship ends. For expiry, explain availability and request lead times. For settlement, identify the decision process and required professional review.

Walk through a quiet month, a fully used month and a final month with the client before accepting the terms. Ask each side to explain the resulting next-period balance. If the answers differ, clarify the policy now. The agreement should also say how a later change takes effect; a casual usage-report comment should not rewrite it. The retainer renewal guide covers changes for a new term. This guide is not legal advice or a template that guarantees enforceability.

Apply it at month end using recorded usage

Start with eligible usage for the actual service period. Review client and project assignment, billable status and unresolved entries before subtracting from the allowance. Internal time approval can establish that the agency checked the records; it does not change the client's agreed policy. Keep non-billable activities and disputed entries separate so the unused balance can be explained.

Reconcile opening capacity, permitted carried hours, approved consumption, unused current hours and expired carried hours in your external policy record. Do not merge those categories into a single unexplained balance. ABH associates time with client, project and task and supports entry approval. The monthly retainer review gives the reporting sequence. Where eligible usage exceeds the allowance, switch to the overage authorization process; unused-hours wording alone does not authorize additional charges.

What ABH shows today and what stays manual

ABH Pro supports flat-fee or capped-hours retainers, usage per period and an Owner's manual generate-invoice action. Invoices have statuses, due dates, PDFs and public links. The retainer feature page describes these capabilities. Automatic rollover is not available today. A policy permitting carried hours therefore needs an external, manually maintained record that can explain the balance without changing historical reports.

At the next period opening, compare that record with the accepted policy and confirm who is responsible for updates. Check origin, cap, expiry, consumption order and any termination adjustment before promising capacity. Keep client communication limited to the relevant engagement and preserve the previous report. Do not present a changed allowance as proof that software calculated a rollover. The agency applies the commercial policy; ABH's usage record provides evidence for the review, not an automatic decision about credits or future work.

FAQ

Frequently asked questions

Does ABH roll unused hours into the next month?

No. Automatic rollover is not available today. The agency applies its agreed policy using a separate manual reconciliation.

Do unused hours always create a refund?

No. The agreement and applicable obligations determine their treatment. Obtain qualified advice for settlement rather than assuming a refund.

What needs to be recorded for capped rollover?

Keep the originating period, amount permitted, cap, expiry, consumption order and closing balance in an external policy record.

Put the next billing decision in writing.
