Agency invoice payment terms: dates, references and receipts

Useful payment terms help the billing contact understand the amount, the due date and the next action. Turn shorthand into a concrete date and a clear reference before the invoice leaves your agency.

Product details checked 13 October 2026. All worked examples are fictional and illustrative, in USD, excluding taxes. This is operational guidance, not legal or tax advice.

Short answer

Confirm the agreed terms, show an explicit due date, identify the billing contact and provide verified external payment instructions. Match partial receipts to the invoice and communicate the remaining balance. These are workflow checks, not jurisdiction-specific legal terms or fee advice.

Free includes 1 client, 1 project, 20 tracked hours per month, 3 invoices per month and 1 user, with an invoice watermark. Retainer management requires Pro. ABH does not collect client payments.

Confirm the billing arrangement before drafting

Find the agreement that sets the price and payment timing. Check the client's billing name, contact, currency and any purchase-order reference the client requires. A project contact and an accounts-payable contact may be different people; establish who should receive billing questions and who can resolve missing information.

Keep a controlled checklist for details that are not dedicated fields in your chosen tool. Do not imply that ABH has a first-class field for every procurement requirement. Confirm the details early enough that a missing reference can be resolved before the agreed invoice date.

Decide the issue trigger separately from the due date using the advance versus arrears guide.

If the invoice includes supplier purchases, use the pass-through costs guide to separate authorization, funding and receipt evidence.

Translate shorthand into an explicit due date

A phrase such as Net 14 is easier to act on when the invoice also gives the actual due date. Confirm the issue date and the agreed method for calculating the interval. Do not silently assume a different rule for calendar days, working days or receipt date when the arrangement is unclear.

Use one unambiguous date style across the invoice and email. Review the PDF and public link so the date the client sees matches the record your agency uses. This guide does not determine which terms are legally effective; it shows how to make an already agreed operational instruction readable.

Worked example: Net 14 and a partial receipt

Illustrative fictional example, USD, excluding taxes: an agency issues a $1,650 service invoice on November 2, 2026. The agreed example is Net 14 calculated as 14 calendar days after issue, giving November 16, 2026 as the due date. The invoice names the service period, agency billing contact, invoice reference and verified external bank payment instructions.

Sample operational wording: Payment of $1,650 is due November 16, 2026. Please use the invoice reference with your external bank payment. Contact our billing team at the address shown on this invoice with a reference or amount question. This wording is illustrative, not a legal clause or a recommendation for a particular payment method.

The agency later verifies a $650 external receipt carrying the correct invoice reference. The Owner manually records $650 against the invoice. The remaining balance is $1,650 minus $650, or $1,000. The update identifies the original invoice, confirmed receipt and outstanding $1,000; it does not create another $1,650 charge or claim ABH processed the transfer.

Provide payment instructions through a verified process

ABH does not collect agency client money. Your agency supplies its external payment arrangement and checks the instructions through its normal verification process. Keep secrets, account credentials and private access tokens out of invoice notes. Only include the information the intended payer needs.

If someone asks to change bank details, follow your established verification procedure using a trusted channel before sending an amended instruction. Do not rely solely on an unexpected email reply. Confirm which invoice the payment should reference, particularly when several invoices have the same amount or belong to different projects.

Make the invoice explain the charge

Use line descriptions that connect the requested amount to the agreed service period or deliverable. Distinguish an hourly charge, retainer base and milestone installment rather than putting every amount under a generic services label. Check the total and currency against the agreement before sharing.

The free invoice template provides a service-invoice outline. For staged work, use the deposit and milestone guide to reconcile separate invoices against one project amount. Clear descriptions support a review conversation, but they do not replace scope agreement or evidence of delivered work.

Reconcile partial receipts before following up

Check external receipt records before contacting the client about an unpaid balance. Match the invoice reference, currency, amount and receipt date. A payment notification may require verification, and one receipt may need investigation if its reference is missing. Do not guess the allocation from the client name alone.

Record the confirmed amount manually and review the resulting outstanding balance. In the worked example, the follow-up concerns $1,000 after a $650 receipt, not the original $1,650. Preserve enough reference information to explain that reconciliation without attaching a bank statement containing unrelated clients' details.

Keep follow-up separate from penalties or enforcement

If the due date passes, first check whether the invoice reached the right billing contact, whether a purchase-order reference is missing and whether the client raised a service dispute. A concise message can state the invoice reference, due date, verified receipts and outstanding balance, then ask for an update.

Do not add an unagreed late fee or make legal claims based on this guide. ABH does not provide automatic client collection or enforcement. Review the time-to-invoice workflow and your agency's own follow-up process together so accurate invoices and receipt records support the conversation.

Make the balance update easy to reconcile

When a billing contact asks for a status update, give the original invoice reference and amount, each confirmed receipt relevant to that invoice and the current outstanding balance. Include the date of the reconciliation so a later receipt does not make an earlier message look inconsistent. For the example invoice, a clear update explains that $650 has been verified against $1,650 and $1,000 remains. Ask the contact to identify any unrecognized receipt or reference issue. Keep this communication separate from a new invoice request, and check the external account again before sending a reminder if time has passed. A fresh balance check is more useful than repeatedly forwarding an old total.

Before sending amounts in a foreign currency, follow the guide to invoicing in another currency.

FAQ

Frequently asked questions

Is Net 14 a built-in legal requirement?

No. It is an illustrative timing agreement in this example. Confirm the arrangement and obtain appropriate advice for legal or tax requirements.

Does recording payment move money?

No. It is manual bookkeeping after the agency verifies a receipt through its external payment method.

Can ABH provide a public invoice link?

Yes. A tokenized link lets the recipient view the invoice and download its PDF without a client account. It is not a client login portal.
